ICMS Grows Stronger;
Database is Updated

Who would ever guess that cleaning up a database could be so difficult? The State Board of Workers' Compensation continues to work on getting the insurer and claims office database up to date and accurate. After an initial setup of one claims office to each insurer, the Board is now able to add multiple claims offices. The Board is going back through the database and adding offices to individual insurers where requested.
The Board will only use claims office information provided by the filing of the annual Permit to Write Insurance Update form (WC-131a) or by claims office revisions submitted on a WC-121. The Permit to Write Insurance Update forms will be sent out during March with a due date to be returned to the Board of June 15, 2007.
As the claims offices are added, information about the claims office and about the insurer are being updated. Please note, any time the information is revised in individual claim files, an email notice will be sent out to the parties of the claim. Each party will receive an email notice that claim information has been revised. In fact, it may only be that an additional claims office has been added.
Phase Three Now in Two Parts
The Board has split Phase 3 into two parts. Phase 3A integrates Managed Care and Rehabilitation functions into ICMS. These functions are now being tested internally. Phase 3B will deploy the web-based submission of forms. The web-based functions are still going through design review and will go through extensive testing prior to implementation.
New Help Desk
Planning has begun on the development of a new Help Desk for the Board. This Help Desk will integrate the existing Information & Referral (I & R) Department as well as offer support for ICMS functions. The new Help Desk is expected to be included in the implementation of the web-based functions in Phase 3B. Liesa Gholson has been named the Division Director of the Training Division. The Training Division will have responsibility for the Help Desk function. Craig Henderson is taking Liesa’s place as Division Director of the Settlements Division.
Forms Completion
Remember forms must be completed in their entirety or they may be returned for missing information. If data required by ICMS is missing, the form can not be processed. SBWC organizational ID numbers also are critical. These numbers are available on the SBWC web site at www.sbwc.ga.gov )
The forms that should be used for all submissions to the Board are those revised July 1, 2006. The Board is no longer accepting 2005 forms. As of January 1st, 2007 the Board accepts only 2006 forms. All other forms will be returned. Board forms may be found on the SBWC website www.sbwc.ga.gov).
Email Notifications
Now that phase two is in production, the ADR, Hearing and Appeals Divisions are generating their notices and awards in ICMS. These documents are sent out by email. If the document is not sent out properly, the sender does receive notice of the failure.
The Board continues to work to improve the email notifications going to parties of the claim and to submitters. For now, we are able to notify only the primary email address submitted to the Board. Eventually, we will be able to notify alternate addressees.
When Phase three is implemented, if you are a party to a claim and you are a registered user, you will be able to go online and view the updated data for that claim. To be a registered user, an email address will be required.
