ICMS UPDATE SPRING 2007
Author: | Wednesday May 02, 2007
This installment on the ICMS project provides updated information.
ICMS Update
By Jan Dillard Project Manager
The Georgia State Board of Workers' Compensation continues to build a document management system which is both effective for the board and responsive to user needs.
Forms Returned
The ICMS document management system uses specific data on each form to identify the claim and to process the information. Because the form is critical to accurate processing, forms are being returned for 3 primary reasons:
The wrong form was used
The information on the form is illegible to the scanner
The form has been altered
Current Forms
A critical item with the new ICMS system is the use of current forms. The ICMS document management system uses specific data to identify the claim and process the information. The claim information must be submitted on current forms! The correct forms are those issued in July, 2006. They have “7-2006” printed at the bottom of the page. If you do not use a current form, the Board will return your form. You must refile the form on the correct version of the form (which can be found on the SBWC web site, HYPERLINK "http://www.sbwc.ga.gov" www.sbwc.ga.gov ).
The Board issues updates to the current forms every July. Be aware that new form changes will arrive soon – July 2007! It is imperative that you stay current with the Board forms.
Readable InformationDo Not Alter Forms
The forms are designed to correspond to data to be used in ICMS. Forms which have been altered will also be returned. Do not change the form to include information which is not requested on that form. Be sure to use the correct form and the most current version of the form.
SBWC ID Number
Organizations that submit forms to the Board have an identifying number. For Insurers and Self Insurers it is an “SBWC ID Number”. For Attorneys, it is the Attorney’s Bar Number. Be sure to use your identifying number when communicating with the Board or submitting your forms.
Claims Office Information
Be sure to identify the Insurer that a Claims Office represents. Claims Offices are identified by the Board as representatives of an Insurer or Self-Insurer. The ICMS document management system knows the claims office only in its relationship with the Insurer. You must identify the Insurer as well as the claims office when submitting a WC14, a Mediation or Hearing Request or a Motion.
Multiple Dates of Injury
The ICMS document management system treats each date of injury as a separate claim. Be sure to identify each claim number associated with a date of injury. Do not put multiple dates of injury with only one claim number.
Coming late Summer or Fall
The Board will require Insurers and Self-Insurers to submit data for First Reports of Injury (FROIs) and Subsequent Reports of Injury (SROIs) electronically. This may be done via EDI (Electronic Data Interchange) or by submitting documents over the Internet. We plan to begin implementation of document submission over the Internet in late summer or early fall. Also, we have begun to run test data through the EDI application. Testing partners are currently being identified.
The mandatory dates for EDI or web-based submission should be issued this summer.
We continue to experience growing success with the ICMS system as we learn more about it and improve our operational processes. Thanks to everyone for your support.
